The successful candidate will assist the management team with the coordination and processing of daily mail and correspondence.
In addition, the candidate will assist in greeting clients and working on special projects, when assigned.
The candidate will also answer non-routine correspondence and assemble highly confidential and sensitive information.
Independent judgment is required to plan, prioritize, and organize in accordance with BACHC's policies and procedures.
Essential Functions:
Performs all job functions in a professional and courteous manner.
This includes answering all general phone calls timely.
Provide excellent customer service to internal and external clients/patients by being responsive to all inquiries in a timely manner.
Performs job duties collaboratively with health center management and exercises good judgement.
Fosters and promotes a culture of service excellence and accountability.
Consistently adheres to a high standard of professional ethics; conducts self in an ethical manner and is a role model to others.
Complies with organizational policies and procedures.
Sorts and distributes mail.
Opens mail for organization and gives to designated staff for distribution.
Keeps updated and accurate logs of all incoming and outgoing mail.
Establishes, develops, maintains and updates filing system for CEO, CFO, COS, and occasionally administrative staff.
Organizes and prioritizes large volumes of information and calls.
Drafts written responses or replies by phone or email when necessary.
Responds to regularly occurring requests for information.
Answers and screens phone calls and takes messages for executive staff and/or emails messages in a timely manner.
Works independently and within a team on special nonrecurring and ongoing projects.
May be required to type and designs general correspondences, memos, etc.
Acts as a receptionist and greeter to the center's Client Resources and Benefits Department.
Perform all other related duties as assigned.
Education and Experience HS diploma or GED required.
Previous clerical experience preferred.
Excellent communication skills (verbal and written).
Excellent customer service and problem-solving skills.
Excellent organizational skills with the ability to multi-task.
Basic computer skills (Microsoft Applications, Internet Applications).
Fluency in Spanish preferred but not required.
Ability to display adaptability, empathy, patience, and has a positive attitude.
Ability to cope well with ambiguity and stressful situations.
Goal oriented with the ability to adhere to quality standards.
Ability to maintain confidentiality of patient and business records.
Physical Demands This is mostly in an office setting; however, this position may require sitting for long periods of time.
Walking, bending and reaching may be required as well.
Position Type and Expected Hours of Work This is a part-time or full-time position.
Days of work are Monday through Friday and hours may range from 8:
00 am to 5:
00pm.
However, these hours may be change as the clinic standard hours may change.
Travel Travel is sometimes required locally, and out of the area for training occasionally.
